In early 2005, planning was under way to open a Baker Donelson office in Baton Rouge. The plan was for a public policy practice serving the legal needs of businesses with interests at the Louisiana State Capitol. By late August when the office opened, however, life in Baton Rouge had shifted significantly in the wake of Hurricane Katrina. The office's mission and service offering were adapted to meet this new reality.

Today the office is home to 23 lawyers working in a full range of legal specialties, serving national, regional and local clients. Our Baton Rouge office is known for its particular strength in health care law – both regulatory and litigation – as well as complex business litigation, labor and employment, tax and estate planning, real estate, business transactions, gaming, intellectual property, cybersecurity, education and public policy.

Our lawyers in Baton Rouge are committed to giving back to the community through pro bono legal and community service. They partner with leading community service organizations including the Greater Baton Rouge Food Bank and Ronald McDonald House, just to name a few. During the Summer of 2016, our Baton Rouge office supported the Access to Justice Program of the Louisiana State Bar Association – the association's program to increase awareness of the needs of indigent members of the community – by sponsoring a pro bono law student. 

In addition, our Baton Rouge office has a reputation for creating a culture and work environment which is highly collegial. In 2015 and 2016, the office won second place in the annual Baton Rouge Business Report "Best Places to Work" feature. 

Help Desk Support Specialist - Any Office Location

Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an immediate opening for a front line Help Desk Support Specialist. This position may be located at any office within the Firm's footprint. This position would work a Tuesday through Saturday and Sunday shift.  A candidate with three or more years of experience working in a legal environment is desired (legal secretary, paralegal, etc.).  We may be willing to train a candidate on the technical requirements depending on that candidate’s level of experience working with attorneys and legal staff.

Responsibilities will include:

  • Providing remote support via telephone and remote access to end-users.
  • Proficiency in Windows 11 operating system and Office 365 , Net Documents document management system; applications w/emphasis on Outlook, Word and Excel.
  • Ability to research technical issues and document solutions in a timely manner.
  • Tracking incidents through resolution, providing written solutions to problems for Knowledge Base.
  • Communicating effectively with both unskilled and skilled PC users.
  • Handling sensitive and/or confidential documents and information.

Job Requirements will include:

  • Knowledge of Document Management Systems (Net Documents)
  • Proficient in Microsoft Office applications (including PowerPoint presentations, Excel spreadsheets and Word styles, legal numbering, tables, etc.)

Financial Services Associate – All Offices (Charlotte or Raleigh, NC preferred) (#790)

Law Firm Electronic Billing Specialist - Remote

Baker, Donelson, Bearman, Caldwell, & Berkowitz PC has an immediate opening for a Law Firm Electronic Billing Specialist. This position is 90% remote working from a Firm office two days a month. This position may be associated with any Firm office location. The successful candidate will be responsible for all aspects of executing attorney eBilling. This position requires a detail-oriented person with excellent critical thinking skills; multi-tasking abilities in support of a large, fast-moving law firm; a team player attitude with a positive outlook; excellent verbal and written skills; ability to work independently and a self-starter; a professional and punctual manner; flexibility to work overtime when needed; and the ability to tackle challenges and work efficiently and effectively and handle other duties and responsibilities, as assigned.

This role requires fluency in Microsoft Office programs / applications, Aderant or other legal accounting software experience. A minimum of 2 years college and an accounting background are preferred. Will train the right candidate

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Works with appropriate firm personnel to ensure new clients/matters are set up correctly in the required eBilling platform.
  • Addresses and responds to questions on electronic billing issues. Follows through in a timely manner to ensure questions are satisfactorily addressed.
  • Manages the electronic invoice submission process through payment; while tracking exclusions and appeals, deadlines, etc.
  • Monitors new timekeepers to ensure they are on approved rate cards for efficient invoice approval and payment.
  • Monthly reconciliations between BillBlast and legal software system to ensure all invoices have been successfully eBilled. Follows up as needed.
  • Weekly review of eBilling status through BillBlast to ensure there are no issues.
  • Works with BillBlast to resolve electronic billing problems.
  • Reviews and ensures the eBilling guidelines are noted on the appropriate matter notes.
  • Ensure monthly eBilling is completed by firm deadlines.
  • Prepare documentation and process mark-downs in accordance with Firm policy.
  • Ability to professionally and effectively interact and communicate with attorneys, secretaries (assistants), administrative staff and clients.
  • Review and verify accuracy of billing and supporting documentation as required, including cost back up documentation.
  • Research and respond to inquiries regarding billing issues and problems.
  • Understand and apply Firm billing policies.
  • Understand and comply with individual client billing guidelines.
  • Observe and maintain confidentiality of client and firm matters.

  • Facilitate the set-up of clients who are transitioning to electronic billing or changing electronic billing vendors to ensure a smooth transition.

Experienced Law Firm Billing Manager - Any Firm Location

Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an immediate opening for an Experienced Law Firm Billing Manager. This position may be located at any office within the Firm’s footprint.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential functions are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

  • Motivate, mentor, and provide leadership to the Billing team, including but not limited to, establishing controls to ensure the quality and integrity of the billing processes
  • Monitor workload distribution and overtime requirements, identifying areas where efficiencies of the billing and/or collections function can be improved. Work with the Director of Revenue Services to implement approved changes
  • Maintain hands-on knowledge of all billing related functions in order to provide proper training, back-up, and support, including, but not limited to bill preparation, bill review, pre-bill review, write off management and exception rate management
  • Manage and oversee all Billing Department functions and organization, assuring work is completed accurately and effectively within defined deadlines.
  • Monitor actual billings against budgets/targets and liaise with other Revenue Managers when necessary

Office Services Assistant - Baton Rouge

Baker, Donelson, Bearman, Caldwell, &  Berkowitz, PC has an opening for a full-time Office Services Assistant in its Baton Rouge, LA office. The ideal candidate will be professional, possess exceptional communication, organizational and computer skills, as well as be proficient in MS Office.

Responsibilities include welcoming and assisting all internal and external clients; answering all calls using Microsoft Teams; coordinating deliveries with vendors; maintaining neatness of the lobby/reception areas and conference rooms; scheduling conference rooms including verification of technology and catering needs; tracking and ordering stock for pantry items and firm events; sorting and delivering incoming mail and email; handling deliveries and pickups as required, including taking legal documents to courthouse for filing; preparing miscellaneous correspondence and assisting with other clerical duties and special projects as requested; acting as administrative backup to Office Coordinator as needed.

Qualifications Include:

Basic knowledge of office equipment, including computer and copiers; Microsoft Office knowledge- Outlook, Word, Excel, etc.; interpersonal skills necessary to communicate and follow instruction of attorneys and staff and provide information with extraordinary courtesy and tact; confidentiality; exceptional client service skills; working effectively within a group or independently.

Client Account Specialist - Various Firm Locations

Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an immediate opening for a Client Account Specialist. Candidate may reside in Charlotte, Raleigh, Charleston, Nashville, Baltimore, Baton Rouge, Birmingham, Chattanooga, Houston, Jackson, Knoxville, Memphis, Atlanta, or New Orleans areas. The position is remote other than the 2nd and 4th mandatory Wednesdays of each month.

Salary is based upon years of experience and location.

Responsible for collecting the firm’s accounts receivable through working directly with the client billing attorneys and, in many situations, directly with the client. Sending follow-up inquiries, negotiating with past due accounts. Document and maintain accurate records. Know commonly used collection concepts, practices, and procedures. Use firm established guidelines and procedures to perform the functions of the job. Maintain ambitious standards and professional collection activities and support. This position is considered professional level. Reports directly to the Client Accounts Manager. Daily contacts include but are not limited to the Director of Revenue Services, CEO, COO, CFAO, Managing Shareholder, Office Administrators, Accounting, Finance, Administration, Attorneys, and Secretaries.

Key Responsibilities include:

  1. Collaborate with client (billing) attorneys regarding their aged A/R.
  2. Communicate with clients via email and telephone regarding aged accounts receivable upon billing attorney approval.
  3. Perform account reconciliations to ensure accurate billing and payment applications.
  4. Compile information for reporting of the progress of collections and accounts receivable aging.
  5. Analyze, investigate, and clarify problem
  6. Report problem and/or doubtful accounts to appropriate parties (CEO, COO, Managing Shareholders, Office Administrator, CFAO, Director of Revenue Services).
  7. Facilitate and expedite the allocations of aged accounts
  8. Monitor the opening of new matters for existing clients with collection and/or write-off issues.
  9. Monitor accounts with collection
  10. Oversee automatic reminder statements for the Firm, making sure that waivers and reminders are generated and mailed.
  11. Follow up on approved electronically billed
  12. Monitor receivable write-offs for the
  13. Manage any client/attorney
  14. Participate in monthly Client Accounts meetings to report collection
  15. Assist Manager with compiling, tracking, and monitoring Firm fiscal year end process as requested.
